      • In FY11/12 I deferred the membership fee income from previous years because no invoices were sent
      • In FY12/13 I forgot to add that deferral although the invoices got out in FY13/14
      • I would propose to adjust the financial report accordingly to keep the income and potential write-offs in the same FY. That would mean additional 720 USD loss in FY12/13 giving more than 5,000 AUD loss in FY12/13 (but potentially more income in FY13/14)

1 Preliminaries

2 Business

2.1 Accept new Arbitration team member

Eva Stöwe introduced by Martin Gummi as a candidate Case Manager and Arbitrator. Dirk mentioned that he had several talks with Eva. Tomáš expressed some minor reservation with regard to having people with real-world law background serve as Arbitrators, to avoid elements of real law inadvertently getting mixed into our Arbitration system. No major concerns were raised, motion m20131107.1 to accept Eva CARRIED.

2.2 AGM preparation

Team reports still very scarce, Tomáš will ping responsible persons.

2.3 Create a CAcert bank account in Germany

Fidor bank will not accept us for not being registered in Germany. Michael will pursue alternatives in the upcoming weeks.

2.4 Advance payment to secure-u

Secure-u asked for an advance payment of 1000 € to be used as a buffer to cover future hosting costs. Motion m20131107.2 to make the payment CARRIED.

Dirk mentioned that we may soon have to spend around 150 € for a new rack lock in order to switch to a half-size rack at BIT. We don't know yet whether the old lock can be reused.

2.5 Correction to the Financial Report

Michael explained that in the current way of accounting membership fees, we expect that all fees will be paid during the corresponding calendar year and the ones that don't come in in time are carried as Accounts Receivable over to the next year. If the member doesn't pay at all in the end, we formally write off the fee. However, due to a mistake the pending fees from previous years have been all included in FY 2012/2013, even though they belonged to FY 2013/2014.

Motion m20131107.3 to correct the mistake in the previously approved Financial Report for FY 2012/2013 CARRIED.

3 Questions

Tomáš asked Michael for clarification of the hosting costs in FY 2012/2013. The reason for a dramatic increase in hosting expenses is our underestimation of real hosting costs in the previous years, where Oophaga has consistently been paying more to BIT than it was getting from CAcert. Thus in FY 2012/2013 we had both to cover the real costs (around 5700 AUD) and pay the debts from previous years, giving rise to the final expense of about 7000 AUD.
